Please read the following Exhibitor Guidelines, including general and site-specific information. If you have questions or concerns, please get in touch with us at info@illumefestival.ca.

ASSEMBLY, REGISTRATION & SCHEDULE

All exhibitors are required to set up between 6 am & 9 am on the festival days. A representative from our team will be on-site to direct you to your space. Please have your kiosk operational by 9:00 am and all cars removed from the site by 8 am.

Exhibitor Village Schedule

  • Open on Saturday and Sunday between 9 a.m. and 5 p.m.

  • Set-up times are between 6 am and 9 am.

DISMANTLING PROCEDURE

Please completely dismantle your booth after 5 pm and move items to designated loading areas.

DELIVERY

You must arrive the same morning with all your promotional and sales materials. Please let us know if you will use large trucks, cubes or the like for delivery. Contact: info@illumefestival.ca with the subject (email title): Illume Delivery.  Illume cannot accept advance shipments.

LOCATION

We will try to consider your location choices as indicated in the registration form. The organization reserves the right to move or modify its initial plan to ensure the smooth running of the event. TERRAIN

This event takes place outdoors. Please be prepared to carry or move items over unpaved surfaces. Spaces are not level.

BOOTHS & SPACES

Alibi Village

The organization can provide a 10’ x 10’ white pop-up tent, including tent walls and weights.

Artisinal Village

We invite all the exhibitors to provide their own tent. All tents and structures must be able to withstand wind and rain, sun exposure and natural elements. Make sure you secure everything appropriately.

TENT WEIGHTS

If you are bringing your own tent, you must bring enough weight. Illume will not provide tent weights. Using a 10’ x 10’ pop-up tent, for example, we recommend at least 35 pounds per foot.

BOOTH DIMENSIONS

All booths, without exception, are 10’ x 10’. However, you can book more spaces to make a larger booth.

SIGNAGE AND BANNER MATERIALS

Illume encourages its partners to use signs and banners with sustainable materials, such as natural fabrics or reclaimed wood, instead of vinyl or plastic whenever possible.

ELECTRICITY

If you requested electricity when you registered, we would place your exhibitor space as close as possible to our various electrical sources. If your electrical needs are out of the ordinary, please contact info@illumefestival.ca with the subject (email title) Illume electricity and in this email, please list all the items that need power.

ELECTRICAL CONNECTIONS:

Power outlets can be up to 100′ away. Please bring long enough extension cords. Illume will not supply extension cords or power strips.

INTERNET :

The organization does not offer WIFI access to exhibitors.

IMPORTANT THINGS TO CONSIDER

Temperature

Please be prepared with the proper equipment and/or supplies whether it's hot or cold.

Lightening

In the event of lightning nearby, we will have work stoppages and return to the event as soon as everything is safe and secure.

Wind

Wind can be a factor at any of our events; please bring what you need to tie things down.

Rain

Please be prepared for rain. You should have rain gear handy; we recommend that you bring tarps to protect your belongings.

FOOD AND BEVERAGE PERMIT

Sample sizes are limited to 3 oz unless prior written approval is granted. This means you cannot operate a Food Truck style kiosk or offer food for consumption on-site. However, you can sell food and drink for tasting and future consumption.
